Questions and answers
Plain answers about putting AI to work in a small business or school.
AI basics
What can AI do for a small business?
It handles the repeat work that eats your week: first drafts of emails, quotes, job posts and social posts, summaries of long documents and calls, answers to common customer questions, and sorting messy lists. The best place to start is a task your team does the same way every week.
Which AI tool should we start with?
Start with one general assistant and match it to what you already use. Google Workspace businesses usually start with Gemini, Microsoft 365 businesses with Copilot, and either can use ChatGPT or Claude. Pick one, train everyone on it, and add tools only when a real task needs them.
What does it cost to use AI tools?
Free versions exist, but they have usage limits and weaker privacy terms. Business plans for the major assistants run about $20 to $30 per person per month. Most small teams spend less on AI than on their phone bill.
Will AI replace my staff?
In a small business, AI takes over tasks, not jobs. The people who learn it get faster at the parts of the job they already do, and spend more time with customers. Training is what turns the tool into saved hours.
Can AI make mistakes?
Yes. AI can state wrong facts with confidence, mix up numbers, or invent a source. Treat it like a fast new hire: a person checks anything that goes to a customer, involves money, or touches legal or medical questions.
Using AI safely
Is it safe to put customer information into AI tools?
It depends on the plan and its settings. Business and enterprise plans from the major providers generally say they don't train on your data, but free personal accounts may. Never paste card numbers, Social Security numbers, passwords or health records into a free tool, and check the data terms of the plan you buy.
Does a small business need an AI policy?
Yes, and one page is enough. It should list the approved tools, what information never goes into them, who checks AI output before it leaves the building, and when you tell customers AI was used. ZenFrog writes one with you as part of team training.
Can schools use AI with student data?
Only with care. Schools have to follow FERPA and their state's student privacy laws, so student records stay out of any tool the district hasn't approved. Teachers can still use AI for lesson plans, rubrics, parent letters and differentiated reading passages without entering student information.
Getting results
How long does it take a team to start using AI?
Most people can use AI on a real task after one hands-on session. Making it a daily habit takes a few weeks of practice on their own work, which is why the 30-Day AI Adoption Cohort exists. As a principal, Dane took his staff from 0 to 86% daily AI use without a mandate.
How do we know if AI is saving us time?
Pick two or three tasks and time them before you start. Track the same tasks for 30 days after training. If a task isn't faster after a month, change the approach or drop it.
What is AI search, and why does it matter for my business?
More customers now ask ChatGPT, Google's AI Overviews and similar tools for recommendations instead of scrolling search results. Those tools pull from websites, Google Business Profiles and reviews. Clear answers on your site, an accurate Google profile and steady reviews make it more likely your business gets named.
When does a business need a custom AI build instead of training?
Training is enough when off-the-shelf tools fit the task. A custom build makes sense when the same task repeats often, needs your own data or steps, and costs real hours each week. The free assessment sorts out which one you need.

Yes. It is a 30-minute video call to find where AI can save you time, and you get a written plan by the next business day. There is no obligation.
Do I need to be technical?
No. Dane explains everything in plain words and starts from wherever you and your team are now.
How much does it cost?
Prices are listed on the Services page. Custom builds are quoted after the free AI assessment.
How fast can you set it up?
It depends on the project. You get a timeline with your quote.
